1.1 Protecting the privacy and confidentiality of personal information—whether over the Internet, on the telephone, or through our offices—has always been fundamental to the way the Joy Beyond Vision Community (“JBVC”) conducts its affairs.

1.2 This policy deals exclusively with personal information managed by JBVC. Personal information refers to information about an identifiable individual, excluding business contact information. The following outlines how JBVC handles personal information. JBVC reserves the right to change this policy, and it may be updated periodically. These changes may affect the use of personal information. Therefore, please check for updates regularly.

3. Purposes for Collection, Use, and Disclosure of Personal Information

3.1 The purpose for which JBVC collects personal information will be identified at or before the time the information is collected. Personal information may be collected for purposes such as:

3.1.1 Purchasing various products or services, including but not limited to document certification or publications.

3.1.2 Processing and administering the above or other purposes, as necessary.

3.2 JBVC will not use personal information for any purpose other than identified at or before the time of collection.

 

4. Consent

4.1 JBVC seeks consent for all personal information it collects, uses, and discloses through information provided to individuals prior to collection or at the time of collection. For more sensitive information, such as credit card numbers, JBVC will request a signature as a sign of consent.

4.2 Voluntarily providing information is interpreted as consent to the collection, use, and disclosure of personally identifiable information as described in this Privacy Policy. JBVC will not use personal information for any purpose other than that for which consent has been provided. If JBVC requires the use of personal information for a new purpose, consent will be sought for that new use.

 

5. Limits for Collecting, Using, Disclosing, and Keeping Personal Information

5.1 JBVC does not collect, use, or disclose personal information of individuals except when individuals give consent and provide the information on a voluntary basis. There may be occasions where more specific personal information is necessary for JBVC to proceed with a request for information or provide a product or service (e.g., volunteers’ database, management of event participants, or feedback forms). In such cases, JBVC will describe the required information and limits the amount and type of information collected to only what is necessary.

5.2 JBVC may disclose personal information collected without the knowledge or consent of the individual, for example, to its lawyers or for purposes relating to an investigation, enforcement, or administration of a law, or where required by law. JBVC will not use or disclose personal information without the knowledge or consent of the individual except as authorized by applicable law.

5.3 JBVC retains personal information only as long as necessary to provide the individual with the requested product, service, or information. For example, if personal information is given to register for an event, it will only be used for that event and will then be deleted or destroyed. In some cases, legal reporting or retention requirements may necessitate that JBVC retains information for up to seven years, in secure storage.

5.4 JBVC does not sell, transfer, or trade any personal information with third parties without express consent. Information may be transferred to third parties only when information processing is outsourced by JBVC in the course of its activities or administrative procedures. Some personal information collected by JBVC is transferred to service providers for processing and storage.

5.5 Any retained personal information is kept in a manner to ensure its security and confidentiality at all times.

5.6 Credit card information: If you choose to use our services, you may need to provide specific information and authorize us to obtain information from various credit services. However, if you choose to pay via Internet Electronic Transaction system, we shall then transfer you to a third-party electronic payment gateway, such as PayPal, Charity Impact, or another approved electronic transaction system. Therefore, you are not required to provide us any credit card information for the transaction, and we shall not store, retain, or record any information about your credit card.

 

6. Safeguarding Personal Information

6.1 JBVC respects the privacy of its event participants, volunteers, partners, potential website visitors, and internet users and will protect that privacy as vigorously as possible. Personal information is stored in electronic and physical files that are secure. Security measures include secure locks on filing cabinets, 256 SSL encryption, and industry-standard techniques such as firewalls, encryption, intrusion detection, and restricted access to computers.

6.2 Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. While JBVC strives to protect personal information, it cannot ensure or warrant the security of any information transmitted to it or received from it electronically. This is especially true for information transmitted via email.

6.3 JBVC has no way of protecting information until it reaches it. Once a transmission is received, JBVC makes its best efforts to ensure its security on its servers. Internally, access to personal information is restricted to employees who need access to the information to perform their jobs. These employees are limited in number and are knowledgeable about and committed to our privacy policies.

 

7. Accuracy of and Access to Personal Information Collected

7.1 JBVC makes every effort to keep personal information as accurate, complete, current, and relevant as necessary for the identified purposes.

 

8. Update Personal Information

8.1 JBVC makes its Privacy Policy and related procedures for managing personal information readily available to individuals. Customer access to the Privacy Policy and related procedures is provided on JBVC’s website and in written form. Any questions about the handling of personal information by JBVC can be raised with the Privacy Officer.

8.2 At the written request of an individual, he or she may view or edit their personal information as collected by JBVC.

8.3 JBVC will inform individuals of the personal information it has about them, its purpose, and, in cases where it has been disclosed, to whom it has been disclosed. There may be exceptional circumstances under which JBVC may not be able to provide access to personal information, as provided by the Canadian CSA Model Code. In such cases, JBVC will explain the reason for this lack of access. To make a request, please send a letter, or email addressed to our Privacy Officer at the address indicated above. In any written request, please include the following information:

8.3.3 Nature of the request (e.g., obtaining a copy of your volunteer agreement, your enrollment record of JBVC’s activities, updating your personal information, etc.)

8.3.4 Whether the request is to view and/or edit information.

8.4 JBVC will respond to requests within thirty days of receiving the request. If it is unable to provide a response within this time period, a notice of extension will be sent.

10. Use of the Joy Beyond Vision Community Website

10.1 This Privacy Statement may be periodically updated to reflect enhancements to the JBVC website that could impact the use of personal information. Please check back periodically for updates.

10.2 The information on this website, collectively referred to as “Information,” is of a general nature, intended for informational purposes only, subject to change without notice, and not intended to be relied upon by visitors as binding legal advice on any particular matter.

10.3 Individual information provided to JBVC to gain access to any feature of this website will not be sold or made available to any third party, except when information processing is outsourced by JBVC as part of its regular administrative procedures.

10.4 JBVC reserves the right to perform statistical analyses of aggregated user behavior and characteristics to measure interest in and use of various sections of its site, improve design and navigation, and gather information for enhancing our services. Only aggregated data from these analyses, not individual data, will be used for this purpose.

12.1 JBVC is not responsible for direct, indirect, special, or consequential damages, regardless of the cause, arising from the use of this website.

12.2 Through the links to other sites found on the JBVC website, users may enter domains beyond the boundaries of JBVC, and once there, JBVC is not responsible for the privacy practices or the content of these websites. JBVC has no control over the accuracy, completeness, or relevance of the information on these sites and provides links to these sites solely for the information and convenience of visitors to our website.

12.3 The information on the JBVC website may be used or copied, provided that it is used or copied accurately or in its entirety, and/or that the source of the information is clearly identified.
